Rules and Regulations
§ 1. GENERAL PROVISIONS
- These Terms and Conditions (“Terms and Conditions”) set out the terms and conditions under which the AEC Hackathon Wrocław Edition event, hereinafter referred to as the “Hackathon” or the “Event”, takes place.
- These Terms and Conditions (‘Terms and Conditions’) set out the terms and conditions under which the AEC Hackathon Wrocław Edition event, hereinafter referred to as the ‘Hackathon’ or the ‘Event’, takes place.
- Terms used in the Regulations shall be understood to mean:
– Participant – a person who takes part in the Hackathon,
– Organisers – Creoox R&D sp. z o.o. and Wrocław University of Science and Technology,
– Host – Wrocław University of Science and Technology,
– Event Partner – a legal or natural person who cooperates with the Organiser under certain conditions,
– Team – a group of participants working on a single project,
– Project – a technological (software) solution created by a Team of participants during the event,
– Authorised services – Wrocław University of Science and Technology Guard, fire brigade, police, ambulance service,
– University campus – Wrocław University of Science and Technology grounds. - The Hackathon will take place from 4-6 October 2024 in Wrocław on the campus of Wrocław University of Science and Technology in building C-18 (Student Culture Zone – SKS), 10 Hoene-Wrońskiego Street.
- English will be the main language of the event.

§ 2. TERMS AND CONDITIONS OF PARTICIPATION
- Participants in the Hackathon can only be adults.
- Application for participation (hereinafter referred to as “registration”) in the Hackathon shall be made by the Participant filling in the online application form, to which a direct link will be provided on the website www.hack.creoox.com and accepting the provisions of these Regulations. Persons who fail to comply with this condition may not be admitted by the Organiser to the premises where the Event takes place.
- Registration for the Hackathon will be conducted during the period indicated by the Organisers on the website www.hack.creoox.com; the number of places for Participants is limited to a maximum of 300, with the proviso that the Organisers may limit the number of Participants when they consider it justified.
- In addition to the Participant’s registration for the Event, the Participant is required to pay the Event fee in the amount shown on the form when registering. By registering for the Event, the Participant acknowledges that the recordings and photographs of the Event will be used and published by the Organisers for their own purposes (including marketing and promotional purposes), which may involve the processing of the Participant’s personal data (including their image) for such purposes. Registration implies consent to such processing of personal data.
- The Participant shall bear the costs of travel, accommodation and meals during his/her stay in Wrocław on his/her own.
- The participant states that he/she has no health contraindications to participate in the Hackathon. The organiser has no liability on this account.
- It is not permitted on the premises where the Event takes place:
– smoking and e-cigarettes,
– introduction of animals with the exception of guide and assistance dogs. - On the campus of Wrocław University of Science and Technology it is prohibited to:
– bringing in weapons, explosives and other dangerous items,
– bringing in dangerous substances, in particular corrosives and poisons,
– bringing in and consuming your own alcohol,
– bringing in and using narcotics and intoxicants. - A User who is a consumer (i.e. a natural person who performs a legal action not directly related to his/her economic or professional activity, having full legal capacity) is entitled to withdraw from the agreement concluded with the Organiser without bearing any costs and without giving any reasons within 14 days from the date of concluding the agreement in accordance with the provisions of the Regulations, by submitting a statement on withdrawal from the agreement and sending it to the organisers’ e-mail address: hack@creoox.com.
§ 3. COURSE OF THE EVENT
- The Hackathon will follow the agenda set by the Organiser and made available on the website www.hack.creoox.com prior to the start of the Event.
- Participants work in Teams, to which they apply independently and voluntarily.
- Teams work on developing a project – a technological (software) solution, tailored to the problem description, which will be presented on the first day of the Event.
- The competition project should be fully developed during the Hackathon.
- During the Hackathon, the Organiser will provide:
– Internet access,
– electrical supply,
– food and drink,
– substantive support from mentors. - Otherwise, each Participant is required to use their own equipment, including a computer.
- Participants take full responsibility for personal property and are obliged to guard it. The organiser is not responsible for any loss or damage.
- The Participant shall be fully responsible for any damage caused by him/her to the facility and to property not belonging to the Participant. The Organiser has no liability in this respect. In the event that damage is caused through the fault of the Participant (e.g. damage to equipment, property, etc.), the Organiser reserves the right to charge the Participant with the costs of liquidating the damage.
- A categorical ban is in force during the Event:
– Use offensive verbal comments related to: gender, gender identity, age, sexual orientation, disability, physical appearance, body size, race, ethnic origin, nationality or religion,
– use of erotic content in public spaces,
– intentional intimidation, harassment, stalking, photographing or audio/video recording without explicit consent,
– continuous disruption of conversations or other events,
– behaviour of a sexual nature. - In the event of an unexpected event, the Participant is obliged to follow the instructions of the Organiser or Authorised Services.
§ 4. SELECTION OF WINNERS AND PRIZES
- Teams participating in the Hackathon will present a Project prepared during the competition in front of the Jury and the competition audience.
- There will be time for each Team to present and for any additional questions from the Jury.
- The Jury of the competition consists of experts designated by the Organiser.
- Winners of the Hackathon will be selected on the basis of the Jury’s evaluations of the competition.
- The projects will be assessed by a Jury in four categories:
– Best overall solution,
– The best solution to a major AEC problem,
– Best mushup project,
– The best solution for people. - A member of the Jury will use a point scale when assessing each project. The detailed evaluation criteria and their weights will be presented to the Participants on the first day of the Event.
- Each member of the Jury evaluates the projects individually. The final mark for a project is the sum of the weighted marks awarded by each Jury member.
- In the event that two or more Projects receive the same number of points, the Jury will decide on the winners.
- The Jury’s deliberations are closed to the public and the Jury’s decisions are final and cannot be appealed.
- The winners of the Hackathon will receive prizes donated by the Organiser or the Partners. The prizes are not exchangeable for a cash equivalent or any other prize.
- The participant is obliged to pay tax on the prize in accordance with applicable tax law and international agreements.
- The team may abandon the presentation of the Project, which at the same time implies abandonment of participation in the competition and makes it impossible to obtain a prize.
§ 5. INTELLECTUAL PROPERTY
- The owners of all intellectual property rights to the works and compositions created during the Hackathon are their authors, i.e. the Participants who are part of the respective Team.
- Any Team can publish its solution with an open source licence, but this is not required.
- The participant declares that he/she is the author or co-author of all works made during the Hackathon and that these works do not infringe any rights of third parties.
- The participant declares that he/she assumes all liability for claims of third parties against the Organiser which would arise in connection with participation in the Hackathon.
- It is categorically forbidden to include illegal, controversial or other content in competition entries that could be misconstrued, in particular content:
– pornography,
– hotter,
– calling for racial, religious or other hatred,
– promoting drugs and narcotics.
§ 6. INFORMATION ON PROCESSING OF PERSONAL DATA AND USE OF IMAGE
- Separate controllers of personal data are Creoox R&D Sp. z o.o. with registered office in Wrocław (50-541) Al. Armii Krajowej 8C/6 and Wrocław University of Science and Technology with registered office in Wrocław at Wybrzeże Wyspiańskiego 27 (50-370). Contact with the Data Protection Officer on the part of Creoox R&D Sp. z o.o. is possible via email: privacy@creoox.com while contact with the Data Protection Officer on the side of Wrocław University of Science and Technology is possible via email: iod@pwr.edu.pl.
- All information regarding the processing of personal data is indicated in the Privacy Policy, which is attached as Appendix 1 to the Regulations.
- All information concerning the use of the image is indicated in Appendix 2 to the Regulations.
§ 7. FINAL PROVISIONS
- In justified cases, the Organiser reserves the right to amend the provisions of these Terms and Conditions. Any changes to the Regulations, including the dates of the Hackathon, will be published immediately on the Hackathon website – www.hack.creoox.com.
- The Organizer reserves the right to change the date of the Hackathon or to cancel it in the event of events beyond the Organizer’s control (e.g. state of emergency, natural disaster) which make it impossible to conduct the Hackathon at the date specified in these Terms and Conditions. In such a situation, the Organiser shall not be liable resulting from the cancellation or change of the date of the Hackathon, and any claims resulting from this are excluded.
- By registering for the Event, the participant accepts and agrees to abide by the provisions of these Regulations.
- Any breach of these Terms and Conditions or infringement of any applicable law will entitle the Organiser to exclude the participant from the Hackathon.
- The Organiser shall have the final say in matters not defined in the Rules, insofar as they do not concern matters defined in the Civil Code.
- These Regulations shall come into force on 23.07.2024.
